We keep Signoff focused on structured work, auditability, and trust. This policy explains what information we collect, how we use it, and the choices available to customers and users.

Scope

This Privacy Policy explains how Signoff collects, uses, shares, and protects information when you visit our website, create an account, use the Signoff application, or communicate with us.

Signoff is built for organizations. If your account is provided by an employer or another organization, that organization controls the workspace content, user access, and retention choices associated with your use of Signoff.

Information we collect

We collect information you provide directly, information created through your use of Signoff, and limited technical information that helps us secure and operate the service.

  • Account information: Name, email address, authentication identifiers, organization membership, role, and related profile details.
  • Workspace content: Checklist templates, run subjects, item titles and descriptions, assignments, comments, completion status, audit log events, and related metadata.
  • Billing information: Plan, subscription status, payment events, and billing contact details. Payment card details are processed by our payment provider and are not stored directly by Signoff.
  • Usage and device information: Log data, IP address, browser type, device information, pages viewed, feature usage, timestamps, and diagnostic events.
  • Communications: Messages you send to us, support requests, survey responses, and related correspondence.

How we use information

We use information to provide and improve Signoff, keep accounts secure, support customers, and meet our contractual and legal obligations.

  • Provide the service: Create accounts, run workspaces, process checklist activity, maintain audit trails, and deliver requested features.
  • Secure Signoff: Authenticate users, prevent abuse, investigate suspicious activity, debug errors, and protect the integrity of the platform.
  • Operate the business: Manage subscriptions, process payments, send service notices, respond to support requests, and enforce agreements.
  • Improve the product: Understand aggregate usage patterns, prioritize improvements, and measure performance. We do not use customer workflow content for third-party advertising.

Cookies and similar technologies

We use cookies and similar technologies for authentication, security, session management, preferences, analytics, and performance. You can control cookies through your browser settings, but disabling certain cookies may prevent Signoff from working properly.

How we share information

We do not sell personal information. We share information only as needed to provide Signoff, comply with law, protect rights and security, or complete a business transaction.

  • Service providers: Vendors that help us provide hosting, databases, authentication, payments, email, analytics, security, customer support, and infrastructure.
  • Your organization: Workspace administrators and authorized users may access account details, workspace content, activity, and audit logs according to their permissions.
  • Legal and safety: Authorities, advisors, or other parties when we believe disclosure is required by law or necessary to protect Signoff, customers, or others.
  • Business transfers: A successor or potential successor in connection with a merger, acquisition, financing, reorganization, or sale of assets.

Retention

We retain information for as long as needed to provide Signoff, comply with legal obligations, resolve disputes, enforce agreements, maintain security, and preserve audit records. Workspace administrators may control deletion or export of certain workspace content depending on the plan and available features.

Security

We use administrative, technical, and organizational safeguards designed to protect information. No method of transmission or storage is perfectly secure, so we cannot guarantee absolute security.

International transfers

Signoff and our service providers may process information in the United States and other countries. Those countries may have privacy laws that differ from the laws where you live.

Your rights and choices

Depending on where you live, you may have rights to access, correct, export, delete, restrict, or object to the processing of your personal information. You may also have the right to appeal a decision or lodge a complaint with a regulator.

Children

Signoff is not intended for children under 16, and we do not knowingly collect personal information from children under 16.

Changes to this policy

We may update this Privacy Policy from time to time. If changes are material, we will take reasonable steps to notify you, such as posting a notice in the service or updating the effective date above.
